Business Review Guidelines

Exactly how our Support team assesses every field and document in your application — what we check, what we accept, why applications get declined, and how to fix each issue. Read this before you submit to get approved first time.

1

Business Details

1.1 ABN

Required

What we check

We look up your ABN against the Australian Business Register (ABR) in real time and cross-check the returned entity name and GST status against what you declared.

Acceptance criteria

A valid, well-formed Australian Business Number — exactly 11 digits.

The ABN is Active on the ABR (not cancelled).

The registered legal or trading name you supplied matches the ABR record.

The GST-registered status you declared matches what the ABR returns.

The entity that will invoice customers is the same entity the ABN verifies.

Common reasons for rejection

ABN not found on the ABR.

ABN inactive or cancelled.

ABN does not match the legal or trading name supplied.

ABN or GST details incorrect on the application.

Invoicing entity differs from the verified entity.

How to fix it

Double-check the 11-digit ABN for typos, confirm it's Active at abr.business.gov.au, and make sure your legal/trading name and GST status exactly match the ABR record before resubmitting.

1.2 Legal business name

Required

What we check

That your declared legal name matches your ABN/ASIC record exactly.

Acceptance criteria

Matches the legal name registered against your ABN on the ABR.

Matches your ASIC extract, where one applies (Pty Ltd/Ltd).

Common reasons for rejection

ABN does not match the legal or trading name supplied.

How to fix it

Enter your name exactly as registered — copy it directly from your ASIC extract or ABR record rather than typing it from memory.

1.3 Entity type

Required

What we check

That the entity type you selected matches your actual registration structure.

Acceptance criteria

One of Sole Trader, Partnership, Pty Ltd, Ltd, Trust, or Other.

Matches your ASIC record where a company structure applies.

Common reasons for rejection

Entity type does not match ASIC records.

How to fix it

Select the entity type exactly as registered — check your ASIC extract or ABR record if you're unsure.

1.4 ACN

Conditional

Required only when entity type is Pty Ltd or Ltd

What we check

For company entities we confirm an ACN is present. We do not currently validate the ACN against ASIC's register or a checksum — it's a presence check only.

Acceptance criteria

Supplied whenever entity type is Pty Ltd or Ltd.

Conventionally 9 digits (a formatting expectation, not an enforced rule today).

Common reasons for rejection

ACN missing for a Pty Ltd or Ltd entity.

How to fix it

Add your 9-digit ACN as shown on your ASIC company extract if your entity type is Pty Ltd or Ltd.

1.5 GST registration status

Required

What we check

That you've given a definite Yes/No answer, cross-checked against the ABR's GST registration record for your ABN.

Acceptance criteria

An explicit Yes or No — not left blank.

Matches the GST status the ABR returns for your ABN.

Common reasons for rejection

GST-registered status inconsistent with the ABR record.

How to fix it

Confirm your current GST registration status at abr.business.gov.au and make sure your answer matches it exactly.

1.6 Registered business address

Required

What we check

That a complete, genuine physical business address has been supplied, consistent with your ASIC/ABR record where one exists.

Acceptance criteria

Street address, suburb, state and postcode all present.

Matches your ASIC record where a company structure applies.

Not solely a PO Box with no physical premises evidenced elsewhere.

Common reasons for rejection

Registered address does not match ASIC.

PO Box supplied with no physical premises.

Address could not be verified.

How to fix it

Provide your full physical street address matching your ASIC record. If you operate from a PO Box, also upload a Proof of business address document showing your physical premises.

1.7 Trading name

Optional

What we check

Not required and not currently gated by our review — it's shown on your public business profile.

Acceptance criteria

No enforced criteria — won't cause a rejection on its own.

How to fix it

Not applicable — this field is optional.

Contacts & Authorised Person

2.1 Primary contact

Required

What we check

That a real, named point of contact is on file for the account.

Acceptance criteria

A full name is supplied.

Common reasons for rejection

Primary contact name not supplied.

How to fix it

Add the full name of your team's main point of contact.

2.2 Position

Required

What we check

The primary contact's role, to understand their standing within the business.

Acceptance criteria

Selected from Director, Owner, Manager, Accountant, or Other.

Common reasons for rejection

Position not supplied.

How to fix it

Select the position that best describes your primary contact's role.

2.3 Work email

Required

What we check

That a reachable business email address is on file — this is where account notifications and rejection feedback are sent.

Acceptance criteria

A validly formatted email address.

Common reasons for rejection

Work email missing or clearly invalid.

How to fix it

Provide a monitored business email address — this is how we'll reach you about your application.

2.4 Mobile

Required

What we check

That a contactable mobile number is on file.

Acceptance criteria

A validly formatted Australian mobile number.

Common reasons for rejection

Mobile number missing or clearly invalid.

How to fix it

Provide a current mobile number in the format 04XX XXX XXX.

2.5 Director / authorised officer

Required

What we check

That the person you've named as authorised to bind the business is a real, verifiable individual — cross-checked against the director photo ID you upload and, for companies, the officers listed on your ASIC extract.

Acceptance criteria

Full legal name supplied.

Matches the name on the uploaded director/officer photo ID.

Matches an officer listed on your ASIC extract, where a company structure applies.

Genuinely authorised to bind the business (e.g. a director, partner, or sole trader — not an unrelated employee).

Common reasons for rejection

ID does not match the director named on ASIC.

Signatory not authorised to bind the business.

Identity could not be verified (KYC failed).

How to fix it

Name the actual authorised officer (matching their ID and ASIC record), or have the correctly authorised person complete the declaration instead.

3

Trade Credit Application

3.1 Estimated monthly transport spend

Conditional

Required only if you opt in to Trade Credit

What we check

A realistic estimate of your monthly freight spend, used alongside your requested limit to assess a sensible trade credit facility.

Acceptance criteria

A positive number, roughly consistent with your requested limit.

Common reasons for rejection

Requested limit exceeds assessed capacity relative to declared spend.

How to fix it

Provide an honest estimate of your typical monthly transport spend.

3.2 Requested credit limit

Conditional

Required only if you opt in to Trade Credit

What we check

Your requested limit against your declared spend, credit file, and trade references, to size an appropriate facility.

Acceptance criteria

A positive number.

Reasonably proportionate to your declared monthly spend.

No adverse findings on a commercial credit check (defaults, judgements, external administration).

Common reasons for rejection

Requested limit exceeds assessed capacity.

Adverse credit file — defaults or judgements.

Entity in external administration or insolvent.

How to fix it

Request a limit proportionate to your monthly spend, and resolve any adverse credit history before reapplying — or continue without trade credit and pay per-job instead.

3.3 Payment terms

Conditional

Required only if you opt in to Trade Credit

What we check

That a payment terms option has been selected.

Acceptance criteria

One of 7 days, 14 days, or 30 days selected.

Payment terms not selected.

How to fix it

Select the payment terms you're requesting.

3.4 Trade reference 1

Conditional

Required only if you opt in to Trade Credit

What we check

That a real, contactable trade or bank reference has been named, so Support can assess creditworthiness.

Acceptance criteria

A reference name is supplied.

Common reasons for rejection

Trade references missing or unreachable when contacted.

How to fix it

Provide a current, contactable trade or bank reference, or withdraw your trade credit application and reapply for it later.

3.5 Trade reference 2

Conditional

Required only if you opt in to Trade Credit

What we check

A second, independent trade or bank reference.

Acceptance criteria

A reference name is supplied, distinct from Trade reference 1.

Common reasons for rejection

Trade references missing or unreachable when contacted.

How to fix it

Provide a second current, contactable trade or bank reference.

4

Verification Documents

4.1 ASIC company extract

Required

What we check

Confirms your legal entity, ACN, and current directors (or, for a Trust/Partnership, the equivalent foundational document).

Acceptance criteria

Uploaded and legible.

Current — dated within the last 3 months.

Shows an entity name/ACN matching what you declared.

Common reasons for rejection

ASIC company extract not supplied.

ASIC extract older than three months.

Document illegible, cropped or low resolution.

Document appears altered or edited.

Trust deed or partnership agreement missing (for Trust/Partnership entities).

How to fix it

Upload a current (within 3 months), clear ASIC extract — or the equivalent trust deed/partnership agreement for those entity types.

4.2 ABN / GST registration

Required

What we check

Confirms your ABN and GST registration in document form, matching what you declared.

Acceptance criteria

Uploaded and legible.

Matches your declared ABN and GST status.

Common reasons for rejection

Document illegible, cropped or low resolution.

ABN or GST details incorrect on the application.

How to fix it

Upload a clear ABR extract or GST registration confirmation matching your declared ABN and GST status.

4.3 Director / officer photo ID

Required

What we check

Confirms the identity of the director or officer signing on the business's behalf.

Acceptance criteria

A current government-issued photo ID (driver licence or passport).

Legible.

Not expired.

Matches the authorised officer's name.

Common reasons for rejection

Director photo ID not supplied.

Photo ID expired.

ID does not match the director named on ASIC.

Identity could not be verified (KYC failed).

How to fix it

Upload a current, legible photo ID for the actual authorised officer, matching the name declared elsewhere in your application.

4.4 Proof of business address

Optional

What we check

Supports your registered address when it can't be confirmed another way (e.g. a PO Box was supplied).

Acceptance criteria

A recent (last 3 months) utility bill or lease showing a physical premises.

Common reasons for rejection

Address could not be verified without this document when a PO Box or ambiguous address was supplied.

How to fix it

Upload a recent utility bill or lease showing your physical business address.

4.5 Public liability — certificate of currency

Required

What we check

That a certificate of currency has been uploaded and is legible.

Acceptance criteria

A certificate of currency file is uploaded.

Clearly legible — no cropped, blurry, or partially obscured scans.

Not expired at time of review.

Policy holder name matches your registered entity name.

Common reasons for rejection

Certificate not supplied.

Certificate of currency expired.

Document illegible, cropped, or low resolution.

Policy not held in the applying entity's name.

Cover amount below the platform's advertised minimum — illustrative guidance only, no automated amount/PDS parsing is performed today.

How to fix it

Upload a current, legible certificate of currency issued to your exact registered entity name, and renew before it expires to avoid a future compliance flag.

4.6 Goods in transit / marine cover

Optional

What we check

Confirms cargo cover, if you want goods insured while in transit. Not required to be approved.

Acceptance criteria

A current certificate of currency, if supplied.

Common reasons for rejection

Goods in transit cover not supplied — flagged as missing/recommended only, never blocks approval on its own.

How to fix it

Upload a current goods-in-transit/marine cargo certificate if you carry insured freight.

4.7 Signed credit application & guarantee

Conditional

Required only if you opt in to Trade Credit

What we check

A signed credit application and personal guarantee, required before extending trade credit.

Acceptance criteria

Signed.

Legible.

Matches the applying entity and signatory.

Common reasons for rejection

Document not supplied or not signed.

Adverse credit file — defaults or judgements.

How to fix it

Sign and upload the credit application & personal guarantee, or withdraw the trade credit request and continue without it.

4.8 Recent financials / bank statements

Optional

What we check

Recent financials or bank statements to support a higher credit limit assessment. Not required even when applying for trade credit.

Acceptance criteria

Last 3 months.

Legible.

Common reasons for rejection

Bank account name does not match the entity — illustrative guidance only; this is a manual Support check, not an automated one.

How to fix it

Upload recent, legible financials or bank statements in your entity's name if you want a limit assessed above the base level.

4.9 Trade / bank reference letter

Conditional

Required only if you opt in to Trade Credit

What we check

A written reference on supplier or bank letterhead, backing your named trade references.

Acceptance criteria

On letterhead.

Legible.

Contactable details included.

Common reasons for rejection

Trade references missing or unreachable when contacted.

How to fix it

Obtain a reference letter from a supplier or bank on their letterhead.

5

Declaration

5.1 Commercial credit check authorisation

Conditional

Required only if you opt in to Trade Credit

What we check

Your consent to run a commercial credit check, required under the Privacy Act 1988 (Cth) before we can assess trade credit.

Acceptance criteria

Checkbox ticked.

Common reasons for rejection

Credit check authorisation not given — blocks the trade credit assessment specifically, not the whole application.

How to fix it

Tick the consent checkbox, or withdraw the trade credit request and continue without it.

5.2 Personal guarantee acknowledgement

Conditional

Required only if you opt in to Trade Credit

What we check

Your acknowledgement of the personal guarantee terms attached to a trade credit facility.

Acceptance criteria

Checkbox ticked.

Common reasons for rejection

Personal guarantee not acknowledged.

How to fix it

Tick the acknowledgement, or withdraw the trade credit request.

5.3 Terms of Service & HVNL acknowledgement

Required

What we check

Acceptance of the Terms of Service, Privacy Policy, and Heavy Vehicle National Law (HVNL) Chain of Responsibility obligations.

Acceptance criteria

Checkbox ticked.

Common reasons for rejection

Chain of Responsibility obligations not acknowledged.

How to fix it

Tick the Terms of Service / HVNL acknowledgement checkbox before submitting.

5.4 Digital signature

Required

What we check

A digital signature (full legal name + timestamp) confirming the declaration was made by an authorised person.

Acceptance criteria

Full legal name entered.

Matches the named authorised officer.

Common reasons for rejection

Signatory not authorised to bind the business.

How to fix it

Sign using the full legal name of the person actually authorised to bind the business.
